Email Templates
Go to Emails in your dashboard to see and customise every automated email Scheddual sends on your behalf.
The email triggers
Each email has a trigger — the event that sends it. Triggers fall into three behaviour types.
Always sent (cannot be turned off):
- Booking confirmation
- Booking cancelled
- Booking declined
- Payment receipt
- Manual payment link
- Waitlist slot available
Toggleable (turn on or off in Emails):
- Booking updated
- Balance due reminder
- Review request
- Booking link
Configurable (turn on or off, plus set the timing in Settings → Notifications):
- Appointment reminder — sent a set number of hours before the appointment (1–168 hours).
- Rebooking nudge — sent a set number of weeks after the last visit (1–52 weeks).
💡 Tip: there's also an online session link email, sent when you send a client their video call link. You manage its content the same way as the templates here. See Sending session links.
Editing a template
- Click a trigger to open the editor.
- Edit the subject line.
- Edit the body — the simple editor lets you change the paragraph text. Tables, buttons, and layout are preserved but can't be moved.
- Use the Variables panel to insert replacement codes at your cursor.
- Preview the email to see how it looks.
- Send a test to your own email address.
- Save when you're happy.
Resetting to default
You can reset to default at any time to restore Scheddual's original template.
⚠️ Note: if a template contains custom HTML, the simple editor is locked. Reset it to default to re-enable editing.
