Email Templates

Go to Emails in your dashboard to see and customise every automated email Scheddual sends on your behalf.

The email triggers

Each email has a trigger — the event that sends it. Triggers fall into three behaviour types.

Always sent (cannot be turned off):

  • Booking confirmation
  • Booking cancelled
  • Booking declined
  • Payment receipt
  • Manual payment link
  • Waitlist slot available

Toggleable (turn on or off in Emails):

  • Booking updated
  • Balance due reminder
  • Review request
  • Booking link

Configurable (turn on or off, plus set the timing in Settings → Notifications):

  • Appointment reminder — sent a set number of hours before the appointment (1–168 hours).
  • Rebooking nudge — sent a set number of weeks after the last visit (1–52 weeks).

💡 Tip: there's also an online session link email, sent when you send a client their video call link. You manage its content the same way as the templates here. See Sending session links.

Editing a template

  1. Click a trigger to open the editor.
  2. Edit the subject line.
  3. Edit the body — the simple editor lets you change the paragraph text. Tables, buttons, and layout are preserved but can't be moved.
  4. Use the Variables panel to insert replacement codes at your cursor.
  5. Preview the email to see how it looks.
  6. Send a test to your own email address.
  7. Save when you're happy.

Resetting to default

You can reset to default at any time to restore Scheddual's original template.

⚠️ Note: if a template contains custom HTML, the simple editor is locked. Reset it to default to re-enable editing.
