Importing & Client Data
This covers bringing clients in from another platform, exporting everything you hold on a client, and deleting a client.
Importing clients from a CSV
Switching from another booking platform? Export your client list there, then import it here.
- On the Clients page, click Import.
- Click Download CSV template for a file with the correct column headers and an example row.
- Fill in your clients (or paste from your old platform's export), then choose the file.
- You'll see a preview before anything is saved — how many clients are ready to import, and any rows with errors (e.g. a missing name or an invalid email). Rows with errors are skipped; the rest still import.
- Click Import to finish.
Columns: firstName, lastName and email are required; phone, isRegular, address, addressLine2, city, postcode and notes are optional. Up to 2,000 clients per import.
Duplicates: if a client with the same email already exists, that row is skipped — existing clients are never overwritten.
Phone number formats
UK numbers are accepted in any common form — 07911123456, 447911123456, or +447911123456 — and stored as 07911123456.
⚠️ Spreadsheets often corrupt long phone numbers (showing something like
4.47135E+11). If you see that, format the phone column as Text in your spreadsheet before entering numbers, or keep them in07…form. Corrupted numbers are flagged in the preview so you can fix them.
Exporting a client's data
To give a client a copy of everything you hold on them (a GDPR "subject access" request), open their profile and click Export data. You'll download a zip containing:
- a complete machine-readable record (profile, address, notes, full booking history, payments, waitlist entries, reviews), and
- a readable booking-history CSV.
Deleting a client
Deleting a client is handled carefully so you don't lose records you're legally required to keep.
- On the client's profile, click Delete client (available to Owners and Managers).
- The client is scheduled for deletion in 30 days. During that window you can still export their data, and a banner on their profile lets you cancel the deletion at any time.
- After 30 days their personal details (name, email, phone, address, notes) are permanently removed.
Their booking and payment history is kept in anonymised form, because you need those records for tax and accounting.
