Managing Bookings

Every booking moves through a series of statuses. The actions available to you depend on the status.

Booking statuses

  • Pending payment — the client started a booking but hasn't paid yet.
  • Pending — booked, waiting for you to accept.
  • Confirmed — accepted and active.
  • Completed — the appointment is done.
  • Cancelled — cancelled by you or the client.
  • Declined — you rejected a pending booking.
  • No show — the client didn't attend.

Actions by status

  • Pending → Accept or Decline
  • Confirmed → Mark complete or Cancel
  • Any status → Add internal notes

What each action does

  • Accept — moves the booking to Confirmed and sends the client a booking confirmation email.
  • Decline — rejects the booking and automatically refunds any payment that was made.
  • Cancel — cancels a confirmed booking. A refund is optional — you choose.
  • Mark complete — sends a review request email, and a balance due reminder if the client still owes a deposit balance.

⚠️ Note: Decline always auto-refunds. Cancel gives you the choice.

Bulk actions

Owners and Managers can select multiple bookings and confirm, complete, decline, or cancel them in one go — up to 100 bookings at a time.

Exporting

You can download your bookings as a CSV file from the bookings page, for use in a spreadsheet or accounting software.
